These terms and conditions govern the relationship between the organizer and the participant of the Phantoms in the Hills event, which takes place from June 26 to 29, 2025 in Bartošovice v Orlických horách.

1. DEFINITIONS

1.1 Organizer: RC Prague Phantoms z.s., with registered office at Waltariho 1155/4, Hloubětín (Praha 9), 198 00 Praha, Company ID: 22249460, registered in the Association Register maintained by the Municipal Court in Prague, file number L 19866 (hereinafter "Organizer").

1.2 Participant: A natural person who has registered for the event through the registration form on the Organizer's website and has paid the registration fee or its deposit.

1.3 Event: A sports and social event called "Phantoms in the Hills" held from June 26 to 29, 2025 in Bartošovice v Orlických horách (hereinafter "Event").

2. REGISTRATION AND PAYMENT

2.1 Registration for the Event is only possible through the registration form on the Organizer's website.

2.2 Registration is valid only after payment of a non-refundable deposit of 1,500 CZK.

2.3 The deposit must be paid by March 31, 2025 at the latest.

2.4 The remaining balance of the registration fee must be paid by May 26, 2025 at the latest (one month before the event).

2.5 The price of the registration fee depends on membership in the RC Prague Phantoms club and the chosen range of services:

• 2,750 CZK - for Prague Phantoms members
• 3,000 CZK - for non-members
• 2,350 CZK - for members without Thursday dinner and Friday BBQ
• 2,600 CZK - for non-members without Thursday dinner and Friday BBQ

2.6 The registration fee includes:

• Accommodation in a fully equipped apartment
• Breakfasts
• Sports program
• Thursday dinner and Friday BBQ (if included in the price)
• Snacks throughout the weekend

2.7 The deposit of 1,500 CZK is non-refundable due to the need to confirm accommodation in advance.

2.8 Payment details for the deposit and remaining balance:

3. CHANGES AND CANCELLATION POLICY

3.1 The Participant has the right to cancel their participation in the Event. In case of cancellation, the following cancellation terms apply:

• If participation is cancelled at any time before the start of the Event, the deposit of 1,500 CZK is non-refundable.
• If participation is cancelled less than 30 days before the start of the Event, a cancellation fee of 100% of the total price will be charged.

3.2 If the Participant cannot attend the Event for serious reasons, they may find a replacement. In such case, they are obliged to immediately inform the Organizer and provide them with the contact details of the replacement.

3.3 The Organizer reserves the right to cancel the Event in case of insufficient number of registered participants or due to force majeure. In case of cancellation of the Event by the Organizer, the registration fee will be refunded in full.

4. RIGHTS AND OBLIGATIONS OF THE ORGANIZER

4.1 The Organizer is obliged to ensure the Event in the scope and on the date specified in the information materials.

4.2 The Organizer reserves the right to change the program of the Event.

4.3 The Organizer is not liable for damages caused by force majeure or events that could not be foreseen or prevented.

4.4 The Organizer is entitled to take photographs, audio and video recordings during the Event and subsequently use them for marketing purposes on their website, social networks and other promotional materials.

5. RIGHTS AND OBLIGATIONS OF THE PARTICIPANT

5.1 The Participant is obliged to follow the Event program, follow the instructions of the Organizer and behave in a way that does not disrupt the course of the Event and does not limit other participants.

5.2 The Participant participates in the Event at their own risk and responsibility, bears full responsibility for their actions and health condition.

5.3 The Participant is liable for damages caused to the Organizer or third parties.

5.4 The Participant declares that they are medically fit to participate in the Event.

5.5 The Participant is obliged to have their own travel insurance and liability insurance during the Event.

6. PERSONAL DATA PROTECTION

6.1 The Organizer processes the personal data of Participants in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data (GDPR).

6.2 The Participant agrees to the processing of their personal data for the purposes of organizing the Event, communication with the Participant and marketing purposes.

6.3 The Participant has the right to access their personal data, rectification, erasure, restriction of processing, data portability and the right to object.

7. CONSENT TO TAKING RECORDINGS

7.1 The Participant agrees that they may be photographed or recorded on audio or video during the Event.

7.2 The Participant agrees to the use of such recordings for promotional and marketing purposes of the Organizer.

8. FINAL PROVISIONS

8.1 These terms and conditions are valid and effective from the moment of completion of the Participant's registration.

8.2 The Organizer reserves the right to change these terms and conditions. The Organizer will inform the Participants about the change via e-mail.

8.3 Legal relations not expressly regulated by these terms and conditions are governed by the relevant provisions of Act No. 89/2012 Coll., the Civil Code, as amended.

8.4 Any disputes arising on the basis of these terms and conditions will be resolved primarily amicably. In case no agreement is reached, disputes will be resolved by the competent court of the Czech Republic.

8.5 The Participant declares that they have read these terms and conditions, understand them and agree with them.
